The Challenge

West End productions run on Microsoft Word show reports, WhatsApp, Google Calendar and spreadsheets. The riskiest piece is holiday approval: sign off leave for a principal and their only cover on the same night, and you cancel a performance — a roughly £250,000 mistake that currently takes hours of manual cross-checking by multiple people to avoid.

The founder, a physiotherapist with fifteen years inside West End productions, had seen the gap first-hand. She came to us with a real problem, a fixed grant budget, an urgent launch window, and non-technical users who needed something that felt like a consumer app, not enterprise software. There was no spec — just a problem worth solving and a deadline.

How We Worked

This was a classic forward-deployed build. The founder articulated the problem, we designed the solution shoulder to shoulder, and her feedback from stakeholder demos shaped every sprint. We learned the domain — principals, covers, swings, tracks, embargo periods — and turned messy human rules into a configurable rules engine rather than hard-coded logic, because every production runs differently.

The centrepiece is the holiday-approval engine. A performer sees who is already off before they submit. A company manager sees exactly which rule a request would break — cover clashes, too many people off, blackout dates — and approves or rejects without leaving the screen. Around it sit roles, people and cover management, daily show reports with attendance tracking, performance scheduling, and a permission system built for theatre hierarchies. Live for real users from week one, then refined demo after demo.

The Outcome

The platform is live at a production-ready standard and entering pilot with a major West End production company, with further productions seeing hands-on demos. Holiday approval that took hours of manual cross-checking now takes minutes, with conflicts caught automatically. A stakeholder demo to the production company's senior team landed well enough that a second phase — crew management, payroll export, multi-show portfolio views — is now scoped and costed. From a great idea to live software running a real West End company's operations, in weeks.
